When you participate in the Child and Adult Care Food Program (CACFP), you obviously want to make sure you’re always maximizing your reimbursements instead of leaving any money on the table.

There are many ways to go about it. Some strategies are easier than others. Some are program-oriented, while others are based in communication and observation. Some can also be found in technology and automation.

For this article, we’re going to focus on three proven strategies that work to increase reimbursements for centers and sponsors and ultimately benefit the families served through the food program. These strategies are part meal service, part communication, and part technology. So let’s dive in.

#1 – Winner, winner. Start serving dinner. 

We know many childcare centers prefer to serve breakfast, lunch and a snack in the afternoon. While change is never easy, you should consider shifting to a morning snack, lunch and dinner routine because reimbursement is higher for dinner than for breakfast. 

Beyond receiving a higher reimbursement, there are other benefits to serving dinner: 

  • You’re doing a big favor for busy, tired parents when you send their children home with a full belly. 
  • You’re giving parents some of their time back. They don’t have to worry about cooking when they get home. They can relax knowing their kids have had a good dinner, and they only have to fix a little something for themselves and maybe a snack for the kids. 
  • You’re strengthening your relationships with parents and building their trust. 
  • Happy parents are happy clients.

#2 – Look for clues that family situations have changed. 

This strategy goes beyond the monthly best practice of reviewing of all your enrollment and eligibility forms, checking for missing information, like parent signatures, expired forms that need to be renewed, and misclassifications of a child’s eligibility.

It’s about keeping a close eye on your childcare center’s roster and knowing when a family situation has changed in a way that affects their status and your reimbursement rate. For example, you see a grandparent dropping off a child when it used to be a parent. Maybe there’s been a divorce and the grandparent is helping out. If so, the change in the household could also have changed their household income. 

Determining if a family situation has changed can be a sensitive matter for parents to discuss. To approach it in the right way, CACFP sponsors should coach and help their centers on how to start the conversation with parents in a way that’s supportive and not intrusive. 

#3 – Use technology to do a lot of the heavy lifting

  2. Non-Profit Status Report – This report lists your centers and their claim amounts, reimbursement amounts, and any possible profits. This allows you to assess whether the centers listed meet non-profit status. It also helps you see what your centers are spending on food, supplies, etc. Are they spending in the best way to maximize reimbursement?
  3. Office Error Report – This report provides a quick claim overview and lists specific errors that occurred when processing a claim. What mistakes were in the claim and how do they affect the potential reimbursement amount?
  4. Center Error Letter – This report provides the center with errors that occurred, when processing their claim. Centers should review, the Center Error Letter and correct errors going forward for maximum reimbursement.

Install Minute Menu CX

Install Minute Menu CX

Follow the instructions below to download and install Minute Menu CX. You can install Minute Menu CX on as

many computers you need. The same link provided in this article can also be used by centers to install their

version of the software. For system requirements, see System Requirements.

1. Click here to download Minute Menu CX.

2. Depending on your browser settings, the file downloads automatically, or you are prompted to save or run it.

  • If it downloads automatically, open the file when it finishes downloading to begin the installation process.

 

  • If prompted, click Run. Depending on your browser, this option may be Open, or you may need to check the Run From Its Current Location box and click OK. Once the download finishes, you may be prompted to run it again.

3. The installation wizard opens. Click Next and follow the on-screen prompts to complete installation. We strongly recommend that you install Minute Menu CX in the default location and that you do not change any of the options during installation.

4. Once the installation process is complete, click Finish. Minute Menu CX opens automatically, and you are prompted for your password.

5. Enter your user name and password. You should have received this information from Minute Menu or (centers) from your food program sponsor’s main office.

6. Click Login.

To access Minute Menu CX in the future, double-click  on your desktop. You are prompted for login information each time, unless you check the Remember Login and Password box when logging in.

Check Your Currently Installed Software Version

To see which version of Minute Menu CX is installed on your machine:

1. Open Minute Menu CX.

2. Click the Help menu and select About Minute Menu CX. The About Minute Menu CX dialog box opens. The version number displays at the top.

Upgrade Minute Menu CX

To upgrade Minute Menu CX:

1. Open Minute Menu CX.

2. Click the Administration menu and select Upgrade Software. The installation wizard opens.

3. Follow the on-screen prompts to install the upgrade.  Note that you must upgrade CX on each individual machine on which it is installed.

How to access your account

You can access your account by following the steps below:

1. Go to the KidKare website by clicking the link below https://app.kidkare.com/#/login/ 

2. Click on “I need a new Password” in the bottom right as shown in the image below.

3. Enter your email address into the email field and then click on “Send Me” 

  • Note: The email address will be the one the state has provided us. Please use the email address on record with your state. If you no longer have access to this email address please email success@kidkare.com 

 4. This should send an email to the email address entered from KidKare Enrollment Portal with a link to reset your password. Click on the blue link 

5. Enter your new password into the fields below and click “Go” 

6. Now you can go back to the login page and login with your email as the username and your new password!
