KidKare and Minute Menu HX is a comprehensive CACFP management system for sponsors of child care providers. Our software helps you manage claim files, home visits, menus, payments, and more.
Pricing for Minute Menu HX is simple. You pay a one-time license and training fee and then a monthly maintenance fee. Everything else is billed only when you use it – when your providers submit online claims or when your monitors use the mobile monitoring option.
Minute Menu HX includes a full CACFP software management suite, updated regularly, on as many computers in the office and off-site (remote offices or monitors’ homes) as your employees need for no additional charge. Your data is stored securely on our cloud servers, so there is no need for a server in your office.
Minute Menu HX automates Tier 1 & Tier 2 reimbursement counts for claims received via KidKare, the online provider claiming system. Hand-written forms with direct entry can be used for an additional fee. Minute Menu HX also allows claims to be manually entered if tabulated by hand for no charge.
All licenses come with a free basic support plan that includes 1 hour of support per month.

In order for some internet-connected features to function you must have one of the above mentioned web browsers installed. In addition, Minute Menu HX generates custom export files directly to Microsoft Excel, so we recommend that sponsors have Microsoft Excel installed in their offices to take advantage of this feature.
Depending upon the operating system, Minute Menu HX requires certain prerequisites (i.e., software that must be installed as part of the operating system). For example, in Windows XP, you must have Service Pack 2 installed. The pre-requisites are checked by Minute Menu HX during installation, and if any pre-requisites are not installed, the Minute Menu HX installation software will direct you to Microsoft’s web site to help you install those pre-requisites. The pre-requisites are all free and provided by Microsoft to anyone who uses Windows.
Minute Menu HX requires the Microsoft .NET 3.5 framework in order to run properly. If your computer does not already have this framework installed, then Minute Menu HX will install it for you during the installation process. The .NET 3.5 framework is also free.
Installation of Minute Menu HX requires administrator access to the Windows operating system. Our development team upgrades Minute Menu HX software frequently to enhance features and help the software run more smoothly. While administrator rights are not typically required, in some very rare cases it may be necessary to have administrator rights when these updates are installed.
The USDA Food Program requires Sponsors to record and store large amounts of information about child care centers. Sponsors use Minute Menu HX to manage that information. As a result, a great deal of information about child care centers is transmitted to and from Minute Menu HX servers.
When you use Minute Menu HX, you connect to the Minute Menu HX servers via a secure, authenticated channel using industry standard SSL encryption. This means that this data, when transmitted, can only be understood by its intended recipient – in this case, you and your Minute Menu HX software. The use of data encryption effectively prevents anyone from examining any personal data while food program claim information is recorded.
Policy on Data Privacy
The data stored in the Minute Menu HX system is done so under the direct authorization of each client sponsor. Per the agreement centers sign with their sponsors in order to participate in the food program, and per the agreement the sponsor has with the state CACFP agency, this information must be made available to state agency and federal USDA officials any time they request it. Likewise, if a sponsor requests (in writing) that we share any of this information with a third party, we are required to do so.
Beyond these situations, it is our policy never to share any of the personal information with any third party. We may share aggregated information (as an example: “in October, 10,000 centers used Minute Menu HX”), but never any specific information on any individual center or sponsor that uses Minute Menu HX.
While a great deal of information about child care centers is publicly available from a number of sources, including state child care licensing agencies, you can rest assured that Minute Menu HX is not a source where personal information can be obtained.

You can choose to limit quantities of certain items, or keep them off your list completely. Minute Menu HX is already set up to follow the food rules for the USDA CACFP meal pattern requirements, but you can also set up your own food rules for your providers.
